A Fully Managed Service

Our Regional Managers oversee the day to day operation of contracts with support from their fully dedicated Area Supervisors and mobile cleaning teams. Our Area Supervisors oversee on-site cleaning teams, ensuring they are working safely and to the client’s satisfaction and in cases where the contract has a dedicated on site Supervisor, the Area Supervisor will work closely with them to provide direct support. Area Supervisors are supplied with company vehicles and the majority of their time is spent ‘in the field’ visiting the cleaning operatives on site during the performance of their duties. Our Area Supervisors have their own dedicated and specific portfolios of customers and sites allowing them to focus on providing a bespoke and personal service.

They act as the link between the mobile and site cleaning operatives and the greater support structure at our Head Office and will assist in respect of the regular ordering of chemicals, materials or equipment and will provide support in respect of any welfare, payroll or disciplinary issues. The Regional Managers and the Senior Management Team have a wealth of experience in the managing and provision of contract cleaning. Our Area Supervisors are long standing career employees with many years experience and they benefit from the day to day support provided by their Regional Managers. This means that you, as our customer, benefit directly from this combined experience as we manage the service for and on your behalf.

Fully Trained Staff

All Ideal’s cleaning operatives whether TUPE transferees or newly recruited staff, receive Ideal’s Company Induction Training, which includes instruction on:

  • Health and Safety at work
  • Control of Substances Hazardous to Health (COSHH)
  • The safe use of Cleaning Agents
  • Completion of Time and Attendance Records
  • Discipline and our Code of Conduct
  • The Cleaning Specification and Customer Care

Contract specific and continuous training for our staff is a key responsibility of our management team. The ongoing training of each employee is carried out by our Area Supervisors, who train our employees in accordance with Ideal cleaning standards and in line with the individual site and contract specification. Ideal’s approach is centred upon site specific Contract Control Manuals and these form the basis for site training. All sites are issued with an individual Contract Control Manual which details the Specification for the site, Method Statements and Safe Systems of Work, Training Records, Quality Policies and Procedures, Risk Assessments and all Health and Safety documentation.

Residents & Tenants – Ideal’s Inclusive Approach

Within the Social Housing environment, prior to commencement of the service, we issue an open letter to residents and Tenants of the schemes. This letter introduces Ideal Cleaning Services Limited to them and specifically names the cleaning operatives that will be performing the works. It includes photographs of the cleaning operatives for recognition purposes and provides information on the scheduled days and times the cleaning operatives will be in attendance.

The names of regular and relief staff are posted on notice boards as well as cleaning specifications, frequencies and times and duties of service. Ideal operate a telephone help desk facility for these contracts and all contract details and help desk numbers are included in the introduction and also posted on scheme notice boards. Residents are encouraged to contact us if they have any concerns or suggestions. Any issues raised are responded to and dealt with within stringent time frames and logged and communicated through to the management team. Corrective Actions are identified and implemented and outcomes communicated back to tenants and customers.

Our management attend residents meetings to hear, discuss and assist with any concerns and we also issue customer satisfaction cards to residents on a regular basis to find out what they think of the quality of the work being conducted and the manner in which it is carried out. By involving ourselves in resident’s meetings, attending alongside the Customer Organisation, Association or Authority and by soliciting feedback from residents we strive to create an inclusive environment. This means we can provide a higher degree of flexibility and responsiveness improving tenants’ perceptions and satisfaction with the service.

Quality Assurance

We conduct independent regular recorded audits and inspections of our works to ensure that standards are consistently achieved and the Key Performance Indicators are met or bettered. All communal areas are formally inspected at least once per month and periodical works upon completion. Ideal understands that it is responsible for cleaning and monitoring its own works and ensures that procedures are in place to check that standards and customer satisfaction standards are monitored.

These inspections are conducted by our supervisory staff with sample surveys being also carried out by our management and senior management staff. Joint inspections are also carried out with our customers, housing officers, partnership managers and site managers. Standards, performance and customer satisfaction are reported on and discussed each month at Service Review Meetings with the customer. Ideal is ISO 9001:2008, OHSAS 18001:2007 and ISO14001:2004 accredited and one of the few service companies in the UK that has PAS99:2006 a fully accredited integrated quality management system that links these accreditations together.
