Ideal manage the services on behalf of our clients and our management teams are adept at reviewing work programmes to maximise efficiency, exceed expectation and provide real value for money. How will the service be managed?

Our Regional Managers oversee the day to day operation of contracts with support from their fully dedicated Area Supervisors and mobile cleaning teams. Our Area Supervisors inspect on-site cleaning teams, ensuring they are working safely and to the client’s satisfaction. Area Supervisors are supplied with company vehicles and spend the majority of their time ‘in the field’ visiting the cleaning operatives during the performance of their duties.

 

Area Supervisors are the link between the mobile and site cleaning operatives and the greater support structure at our regional offices. Area Supervisors will assist in the regular ordering of chemicals, materials or equipment and will provide support in respect of any welfare, payroll or disciplinary issues. Our Area Supervisors are long-standing employees with many years’ experience and they benefit from the day to day support provided by our Regional Managers.

 

This means that you, as our customer, benefit directly from this combined experience as we manage the service for and on your behalf.

What type of training will the staff receive?

All Ideal’s cleaning operatives, whether TUPE transferees or newly recruited staff, receive Ideal’s Company Induction Training which includes instruction on:

  • Health and Safety at work
  • Control of Substances Hazardous to Health (COSHH)
  • The safe use of Cleaning Agents
  • Completion of Time and Attendance Records
  • Discipline and our Code of Conduct
  • The Cleaning Specification and Customer Care

Contract specific and continuous training for our staff is a key responsibility of our management team. The ongoing training of each employee is carried out by our Area Supervisors, who train our employees in accordance with Ideal cleaning standards and in line with the individual site and contract specification.

Ideal’s approach is centred upon site-specific Contract Control Manuals and these form the basis for site training. All sites are issued with an individual Contract Control Manual which details the Specification for the site, Method Statements and Safe Systems of Work, Training Records, Quality Policies and Procedures, Risk Assessments and all Health and Safety documentation.

Will there be open lines of communication with Residents & Tenants?

We will issue an open letter to residents and tenants of the schemes. This letter introduces Ideal Cleaning Services and specifically names the cleaning operatives that will be performing the works. It includes photographs of the cleaning operatives for recognition purposes and provides information on the scheduled days and times the cleaning operatives will attend.

The names of regular and relief staff are posted on notice boards as well as; cleaning specifications, frequencies, times and duties of service. Ideal operate a telephone helpdesk facility for these contracts and all contract details and help desk numbers are included in the introduction and also posted on scheme notice boards.

Our management attend residents meetings to hear, discuss and assist with any concerns. We also issue customer satisfaction cards to residents on a regular basis to find out what they think of the quality of the work being conducted and the manner in which it is carried out.

By involving ourselves in resident’s meetings, attending alongside the Customer Organisation, Association or Authority and by soliciting feedback from residents we strive to create an inclusive environment. This means we can provide a higher degree of flexibility and responsiveness improving tenants’ satisfaction and perception of the service.

How do you ensure the quality of the service?

We conduct independent regular recorded audits and inspections of our works to ensure that standards are consistently achieved and the Key Performance Indicators are met or bettered. All communal areas are formally inspected at least once per month and periodical works upon completion.

These inspections are conducted by our supervisory staff with sample surveys being also carried out by our management and senior management staff. Joint inspections are also carried out with our customers, housing officers, partnership managers and site managers.

Audits and Inspections are carried out and recorded using our bespoke Smart Phone App developed using the Zeta-Safe platform, allowing client access to audit results and other data in real time.

Ideal is ISO 9001, OHSAS 18001 and ISO14001 accredited and one of the few service companies in the UK that has PAS99 a fully accredited integrated quality management system that links these accreditations together.
